image InkShowThe OneNote Team has done it again, this time with another Powertoy.  This powertoy is a must have for any OneNote user, especially for somebody that has a bunch of different places they need to be quickly.

In this InkShow I go over all aspects of the powertoy.  Starting out with a look at the menu's and functionality.  After that, I take everyone through a live demo of this powertoy to show it in action.  Then as a surprise to me - they show up in a different place all together as well!!  But you'll have to watch the show to see that one :)

Paper, paper, paper. There just seems to be no way to get away from stacks of pictures and resumes when it comes to auditioning actors and keeping track of which ones we're interested in. I try to do so, but there are just to many layers and things move too quickly to be efficient with the tools we now have.

In any regard, here's a GBM Shortcut on the tools I do use when I'm participating in large cattle call auditions. They don't get rid of the paper, but they do help me keep organized as the process moves along.

OntheroadHere comes a crazy mobile week. The big trip this week is to head to Memphis for auditions at the UPTA conference. That’s a 5 day conference where we will audition over 600 actors and then interview about 200 or so for possible jobs in our next season which begins in June. More on that later. (Note some of the links in this post are affiliate.)

But before we head off to UPTA, I am spending a day doing some political lobbying on behalf of the Arts in our state (and my theatre in particular.) I, and other members of my team, leave this afternoon to head to Richmond. (We’re leaving early enough so we can get into our hotel and watch the Super Bowl.) Early tomorrow morning, we’re off to the state capitol and a day full of appointments. We’ll be using our mobile phones (both voice and text messaging) to keep in touch throughout the day, as appointments often change due to the legislators’ schedules. I’ve planned out the day in MindManager and will be using my Tablet PC to keep track of our progress throughout the day. It will be a fast moving day and interestingly enough most of the work will come in the follow up that we have to do the next day, so keeping accurate records of conversations is a must.

On to the Auditions

Mid-week we head off to the UPTA conference. For this conference (and another one in March) we basically carry a small office with us. The tools I’ll be using will be the Lenovo ThinkPad X61 Tablet PC, the HTC Mogul, the Canon Pixma i90 Printer, a LogiTech webcam, and, for brief bits of relaxation, the iPod Touch. I’ll also be carrying a video camera to tape some auditions. I primarily use OneNote 2007 in keeping track of interviews and auditions. I’ve chronicled how I do that in the past, but it has been awhile, so I’ll be updating my process some this year. It has been a successful method of keeping track of actors and interviewees.

Twitter: A Different Communication Method?

Not only do we audition and interview at the conference, but I also do much of my ongoing work for the theatre there as well. In essence a big portion of our office moves to Memphis for the week. Communication is the key as we have a number of big pressing issues (we’re in the middle of renovating the theatre) and there are some issues coming up that we know in advance are going to require relatively immediate responses by me. Auditions are like attending a public event. Cell phones are turned off for courtesy (if an auditor’s cell phone goes off during the audition he/she pays the fee for that actor’s audition!) but the WiFi is plentiful. We are going to try something different this trip as far as a communication method. In the past we’ve used SMS messaging at these events when the folks back home have to reach me. But the buzz of a cell phone in stun mode can still distract. So, I’m going to be using the iPod Touch to follow direct messages from the home office on Twitter. I could just as easily use the HTC Mogul for that, but I’m experimenting, and I want to see if the Touch will do the trick here. We’ll see how that works.

It should be an interesting, but exhausting period of time. As a side note, my participation here on GBM will be light during the auditions. I’m also trying out a couple of new (to me) gadgets and accessories and if all goes well, I’ll be reporting about that either from the road, or after I return.

MeHere’s my take, hunches, best guesses, and coin flips for 2008.

  • Mobile Internet Devices (MIDs) will dominate the conversation for the first half of the year. What happens in the 2nd half is anybody’s guess.
  • Call it Ultra-Mobile PC, call it UMPC, call it Origami. Call it what you will, but by the end of 2008 call it in its dying throes. The ultra mobile vision will remain, but in other devices. 
  • Unlike Rob, I don’t see Dell re-evaluating their price point on the XT Tablet PC so soon. The high price point is consistent with the markets they have been targeting from the beginning. If the prices drop it will be a year from now at the earliest.
  • Apple will not market a Tablet PC in 2008.  Instead it will be a communication device that takes advantage of the iPhone’s features as well as the Back to My Mac features for users to grab their data on the road. Because it will have a touch interface and be able to take advantage of InkWell, Tablet PC aficionados will call it a failure.
  • Touch will again be a dominate feature and news story. The real question is will anyone develop an application that makes it more than a fancy way to play media, turn pages, or manipulate photos. Or is that enough?
  • Multi-touch is still a ways off. Someone, somewhere, needs to develop a real use for it on the Tablet PC and mobile devices.
  • With the exception of the MID and whatever Apple will do in 2008, next year’s headlines will be about technologies that change or provide new content delivery methods, similar to the Amazon Kindle.
  • Microsoft’s marketing will continue to be mediocre at best and miss the mark more than it will hit.
  • DRM will continue to cripple operating systems and content delivery methods. Most consumers won’t notice. Those that do will root for Amazon, Walmart, and Independent music producers to keep putting the pressure on.
  • New releases of new products across the board will slow down in 2008. Some consumers will remember Apple’s iPhone price drop form 2007, companies will try to get a better handle on delivery inadequacies. Consumers are starting to notice that their voices can be heard, and companies will start to slow things down a bit, to hopefully improve on what they eventually release.
  • The word “open” will get bandied around a lot. As in Google’s efforts to make mobile devices more open with its Google Android mobile OS. The word open will lose all meaning in the marketing miasma.
  • OneNote 2007 will continue to remain a secret.
  • The Asus Eee PC story is just getting started. It will have much more impact in 2008.
  • The companies to watch in the mobile space who will have the greatest impact will be Apple, Nokia, HTC, Asus, and Google.
  • HP, Toshiba, and Lenovo will continue to dominate the consumer Tablet PC space, although we probably won’t see anything really new until 2009. Fujitsu nees to make some noise here.
  • Inking on Tablet PCs will continue to remain the ultimate niche in a niche product.
  • There will be a major Internet outage or Bot Attack in 2008, prompting all sorts of chaos and howling. This will lead to a renewed interest in client apps vs. the cloud.

capturxthumb What's this? A Tablet PC/UMPC digital Inking fanatic reviewing a pen and paper solution for note taking? Bear with me here. Capturx by Adapx is a very intriguing Digital Ink solution. Yes, it does use specially treated paper in note books (and other media) and a special pen to capture those notes, but what is intriguing to me about Capturx is the excellent integration with OneNote 2007.

Here's how it works. The Capturx OneNote 2007 kit provides you with software, a notebook, a pen, and a docking station. Once you install the software and recognize the notebook, you can take notes on the notebook using the tried and true familiar pen and paper method. Then the magic happens. When you are back at your Tablet PC (or any other computer) you simply dock the pen and your digital Ink notes are synced to a OneNote notebook. This also charges up the battery in the pen. The notes can then be searched or manipulated in the same way any other notes within OneNote 2007.

Send To OneNote 2007 Printer Want to know the best way to make a Tablet PC note-taker angry? Take away his ability to print to OneNote, that's how. Yep, I've been pretty frustrated the past couple of weeks, as I somehow deleted my Send To OneNote 2007 printer. I use that printer throughout the day, often marking up printed documents, so being without it has really handcuffed me.

I searched and searched for a way to reinstall the Send To OneNote 2007 printer, but came up completely empty. I tried repairing Office 2007 ( which includes OneNote in my case ), and that didn't work. So tonight, I performed one final search and hit the jackpot over at TabletQuestions.

Donato had been running in to a similar problem as mine and found that one of his PDF printers had been inadvertently assigned to the Send To OneNote printer port. So, I looked through my PDF printers and found that my Quickbooks PDF Converter printer was assigned to the Send To OneNote port - ah hah, the offending culprit. I reassigned it to the PDF Xchange port, ran another repair on Office / OneNote, and my Send To OneNote 2007 finally reappeared!

If you suddenly find your Send To OneNote 2007 printer missing, take a look at your existing printer and port assignments.

The reward for finding that missing printer is priceless!

Microsoft's Daniel Escapa has some great details on a new product from Adapx called Capturx for Microsoft Office OneNote, which allows you to write notes in a paper notebook and transfer them to OneNote. This looks very intriguing for those of us who also like to take paperbased notes. The fact that it transfers the notes as digital ink that OneNote recognizes is huge.

Checkout Daniel's comments below, and head over to Adapx to learn more. Kathy Jacobs, a OneNote MVP, has a really good review of Capturx, too.

I wanted to point out a newly released digital pen solution that works with OneNote called Capturx for Microsoft Office OneNote.  The basic idea is that you can purchase a special notebook & pen which will take your handwritten notes and convert them into digital ink and insert them into OneNote as ink.  This means you can take notes in your notebook and then later everything will appear in OneNote where you can convert it to text, search the handwriting and share with others.

Office 2007It is raining service packs it seems. Microsoft has released The Microsoft Office suite Service Pack 1 for public download. (note that silly small ‘s’ in the title.) Unlike Vista SP1, this is not a release candidate and is the official service pack release. This service pack is really more about fixes than it is about features. A description of what’s contained in the service pack is located here, although you’ll need to hit a bunch of Knowledge Base links to read more about it. That said, Daniel Escapa, has a rundown on what’s available for OneNote 2007 on his blog.

I’ve installed the service pack on my Tablet PC and so far have seen no issues with any of the Office programs I’m running. The install was relatively painless as well.

As I am sure most of the readers know, we here at GottaBeMobile REALLY like OneNote 2007.  And we really like it in it's current state...  just imagine it when these Powertoys come out:

Microsoft Office OneNote 2007 (c) MicrosoftYes, you read that right. If you are running a 64-bit versions of Windows XP or Vista, you are missing the capability to "Send To OneNote." Although this is covered fully in a Microsoft KB article, basically, the 64-bit OSs just don't have the Microsoft Office Document Image Writer printer driver installed. Without that printer driver, you have no Sendto OneNote. This is not something that has been advertised anywhere that I've seen, and although Dan Escapa and the OneNote team do know about the issue and are working on a resolution, but no mention of when something may be available.

I use Send To OneNote several times a day. That feature alone has cut down my printing to less than half of what it was before. If you haven't tried out the new OneNote 2007, do yourself a favor and download the free trial version. This is my favorite note taking and organizational software ever. Just be sure to run it in a regular 32 bit OS if you want the Send to OneNote feature to work properly.

Microsoft might be doing everything in its power to keep its killer app OneNote 2007 a secret, (it earned a 2007 Ink Blot Award for Best Tablet PC Software That Is Such A Secret That Microsoft Doesn't Want To Tell Anyone: Microsoft OneNote 2007 ) but Daniel Escapa is doing his best to get the word out about this great software application. Once a month he runs a round up of all the blog and web posts he can find on OneNote 2007. As you can see from the list folks are indeed talking about OneNote 2007, which is a good thing. There is some great reading on that list about OneNote 2007 and how people are using it. I just think it is a shame that Microsoft is relying on that kind of PR to get the word out.

Keep beating the drum Dan. OneNote 2007 is indeed a killer app and the best thing to come out of Microsoft for some time.

005_SmallThe folks behind Microsoft’s super secret killer app, OneNote 2007 (which includes OneNote Mobile), better take notice. EverNote is hot on their heels and closing fast, at least by the looks of the public technical preview of EverNote for Windows Mobile. I got a whiff of this yesterday from good buddy James Kendrick and have been giving it a try on my Sprint (HTC) Mogul and I am more than impressed with what I see. Keep in mind this is a technical preview and not a finished product yet and they caution that it is an unsupported product at the moment. In fact they say this is more of a market test than it is anything else.

The home run that EverNote has hit here is excellent Inking ability on your mobile device that can then be synced (in a fashion) with EverNote on your Tablet PC. Though EverNote is a great Tablet PC application, I’ve never found it to my liking, but from the looks of this technical preview that I may be reevaluating that stance. You can take four different types of notes, text, Ink, photo (if your device has a camera), or sound recording. Again, I’m very impressed with the Inking and how well it transfers from the Mogul to my Tablet PC.

gbm_howto_1_thumb Ever wanted a simple To Do system? Well, look no further than OneNote. Fortunately, OneNote provides some built-in templates and options to effectively manage To Do items.

 

Use an Existing Template

  1. Create a new section called To Do's
  2. Set the default template in that section to one of the pre-existing OneNote To Do templates
    1. Click the drop down in New Page to More Template Choices
    2. Expand the Planners tree
    3. Choose one of the three template choices to see what they look like
    4. Then set the option at the bottom of the template pane to Set the Default Template For New Pages in the Current Section to the template you like. The planner templates are at the bottom of the list.
  3. Get creative and design your own template

  1. Start a new note
  2. Turn on the Tags Toolbar ( View / Tags toolbar ). A Tag drop down choice is also on the main toolbar to select from.
  3. Either click the check marked To Do tag or do a Ctrl 1, then start typing.
  4. Press the Enter key, do a Ctrl 1 and type the next To Do item.
  5. Check them off as you finish them.
  6. The bottom of the toolbar contains some more To Do items, like Discuss, Call Back, etc.
  7. To tag some ink as a To Do item, ink your To Do, select it, then click on the corresponding Tag from the tool bar.
  8. Experiment with Tags - they are your friend in OneNote.

image Since the existing templates and the on-the-fly list uses the To Do tag, you can click on the Show All Tagged Notes from the Tag dropdown menu to see a subset of all your To Do's across all of your notes ( including other Tags), and further filter the list by telling selecting "Show Only Uncheck Items".

We'll tackle synchronizing Outlook Tasks and OneNote To Do items from Outlook in another How-To.

Now that I'm done with this article, I can mark it off my To Do list!

I use Microsoft Dynamics CRM as my customer relationship manager. It integrates nicely into Outlook, but now I can integrate it into my OneNote as well. Daniel Escapa has provided some links to a new MSDN article by Jeff Cardon and Rachel Drossman covering how to extend Dynamics CRM into OneNote as well as links to the Microsoft Dynamics Snap binaries and source code over on CodePlex. In addition to the OneNote Snap, there are also Snap applications available for InfoPath and other Microsoft applications.

Using this Snap, you can take notes in OneNote Mobile 2007, sync with your Tablet PC running CRM and have it sync into the CRM database and be available to others who use the database. With the OneNote Mobile feature to take snapshots of business cards combines with the CRM Snap, you could have a quick and painless way to add new contacts to your contact database.

Windows Journal as an index cardWhatIsNew just wrote up a good discussion of using Windows Journal as an index card. The article mostly talks about using Journal on a UMPC, where the reduced screen size gives a good effect of having index cards. However, I think people tend to dismiss the capabilities of Windows Journal too quickly. It's a simple application, but it can be really powerful in its simplicity. Often I don't want the overhead and breadth of capability of OneNote, and Journal steps right up to many of these lighter tasks.
