The Outlook Shut Down Mystery

Do you see the message displayed in this graphic when you shut down and reopen Microsoft Outlook 2007?

James Kendrick says he’s seeing it on all his machines. I see it more frequently than I would care to as well. In fact, I’ve begrudgingly learned to live with it, sad to say. A number of the commenters on jk’s post say they’ve never seen the issue while some have. The problem occurs when the Outlook data store, either a .pst or an .ost file, does not shut down properly when exiting Outlook. OK, fair enough, but why does that happen?

From what I can gather there are several issues that can cause an improper shutdown and several fixes/workarounds that I’ve seen. If ever there was case for the well worn cliche, Your Mileage May Vary, (YMMV)this is it.

Microsoft’s solution

Microsoft suggests in this Knowledge Base article that the problem can occur if:

  • Antivirus software is scanning the file (I assume that means the .pst or .ost)
  • There is a forced Microsoft Windows shutdown before the Outlook.exe process shuts down completely.
  • Outlook add-ins are present.

As a recommendation, the KB article suggests the following:

If you see this issue frequently, and you have to exit Outlook shortly before you shut down your computer, it may be better to shut down Windows while Outlook is still running. We recommend that you do this instead of of exiting Outlook and then shutting down Windows shortly after that.

Outlook add-ins

It seems from my research that just about any Outlook add-in can cause a problem, including (and there are a number of reports of this,) Microsoft’s OneCare. You’d think they would have figured that one out by now in Redmond. To find out if this is what might be causing your problem open Outlook in Safe mode (/safe) and this will disable all add-ins. Then comes the trial and error part of adding them back in one by one until you find the culprit. You can find out which add-ins are disabled and re-enable them by going to Help/Disabled Items. A number of users report that this solves their problems, once they’ve identified the offending add-in, but note that your mileage may vary. One of the guilty culprits in my usage has been MindJet’s MindManager and I keep that turned off. Fortunately, when it has caused a problem, I get a report that says that the add-in was the culprit. In many of the cases I’m seeing in my research, it is a mystery to tell which add-in causes the problem. I’m also testing Xobni, and I think that might be why I have been seeing this occur more frequently of late.

Outlook_2007disableAutomatic send/receive

One suggestion I’ve discovered is to make sure Outlook isn’t polling for a send/receive when it is offline. You can do this by going to Tools/Options/Mail Setup and hit the Send/Receive button. Uncheck the box under ‘When Outlook is offline’ that says ‘Schedule and automatic/send receive every….’ Again, some report that this solves their problems. Others do not.

A not so appealing workaround

A number of sources have suggested turning off the Outlook services in Task Manager before shutting down Outlook. Talk about a silly workaround.

No easy conclusions

For whatever reason, this can, at the least, be an annoyance and at the worst perhaps cause data loss. You would think that Microsoft would have more to offer here about this, and I’m sure there are probably other causes and workarounds out there. But from what I’ve found there are too many variables out there to offer something definitively at the moment.

I've been getting the same annoying message periodically. As you said, more often than I'd like.

It's annoying, but I just don't have the time to troubleshoot the problem right now. I didn't realize it was so widespread and that others were dealing with the problem as well.

I am running Xobni, but can't say for sure if the problem started after installing Xobni, or if it became more frequent.

As I said over on jkOnTheRun, I run into this all the time at work. This is usually a plugin hanging on shutdown of Outlook, but it can also be caused by having a lot of data in your Inbox and Sent Items which are processed on every Send/Receive operation. If you shutdown Outlook in the middle of a length Send/Receive, this can happen. I usually tell people at work to keep those folders at 500 items or less and use folders for permanent storage.

I see the problem occasionally and *think* I have it traced to shutting the machine down while Outlook is still running. I run PSTs from a USB stick (with on the fly data encryption). If I forget to close Outlook and give it some time to chomp on the 5 or 6 open PSTs, then shutting down the computer may occur before the PSTs have been properly closed. I've never lost any data, though. (Outlook's PSTs continue to amaze me in reliability and recoverability - even when I do something dumb.)

Another no-no: using a USB stick in the monitor's USB slot. Convenient, yes. Smart, no (if the monitor is set to power down after x minutes of no activity...) In my case, when the monitor goes into power save mode, the USB hub is shut down. So anything connected goes away...

I get that same message, as well as another one when accessing the IMAP folders from Gmail. That the file is in use by another program and can't be accessed. They started at the same time so I thought they were related. I have to restart Outlook 1 or 2 times to be able to open the IMAP folders.

I have never seen this Outlook error once in over 18 months of using Outlook 2007 (with an Exchange server account).

One suggestion that I did not see mentioned was to set Outlook to do a send/receive when shutting down. In fact, in Warner's picture above, this option is not set. To do this, drop down the Send/Receive button on the toolbar and choose "Send/Receive Settings" then "Define Send/Receive Groups". Put a checkmark next to "Perform an automatic send/receive when exiting".

I see this outlook error from time to time. My workaround is keeping an eye on my installed knockout indicator, a freeware that came with TEO.

I am also seeing this message frequently and I am also running Xobni. I did not see this message before trying Xobni.

I also began seeing this message after installing Xobni. Uninstalled Xobni and everything went back to normal. My guess is that Xobni keeps indexing the mailbox files for a while after you close Outlook (I'm not a tech, my "user spider sense" tells me that) or something like that. Curiously, after quiting Outlook and waiting a few seconds to turn off/hibernate (I keep Outlook opened from the moment my notebook starts and usually quit just before turning off/hibernate) the problem seems to go away.

I get that message several times a week on Outlook 2003. I saw it frequently pre-Xobni and I still see it now that I use Xobni. I haven't found a good way to avoid it, although I have noticed that if I wait until the Outlook tray icon actually goes away before I hibernate, which sometimes takes quite a while, then I usually don't have a problem.

Like JMVMello, I run Outlook from the moment I turn on the system until I hibernate at the end of the day. I also have an Exchange email, POP email, and IMAP email accounts all set up. I read a lot of email.

We have not witnessed this error ourselves with the MindManager Outlook addin, but we suggest making sure you have the most current version of MindManager installed which solves for some issues with the MindManager addin that were introduced with recent Office 2007 updates. I also have gotten the message with Outlook 2007. First started occuring with Mindjet. Turned off the plug-in and that solved the problem, except now I have to turn it back on when I want to pull my emails and such to Mindmanager.
The next time it started showing up was when I had Outlook check for new mail at shutdown. Unchecked that box and everything returned to normal.
The last occurences were with Xobni. Solved that problem by unistalling Xobni and installing NEO 3.x. Turns out I like NEO better anyway.
